Job Overview
The MSO plays a key operational role within Questfield International School, ensuring that the entire campus operates safely, efficiently, and to the highest standards of cleanliness and maintenance.
This position oversees the Maintenance Team, Cleaning Team, Transport Team, and collaborates closely with external partners responsible for Health & Safety (SSM), Fire Prevention & Protection (PSI), security services, and catering.
The MSO ensures that all buildings, equipment, grounds, and vehicles remain functional, safe, compliant, and ready to support an exceptional learning environment for students, staff, and visitors.

Main Areas of Responsibility
1. Facilities, Maintenance & Campus Operations
• Coordinate, supervise, and evaluate the daily work of the maintenance team, ensuring high-quality building, grounds, and equipment upkeep.
• Manage maintenance schedules, preventive maintenance plans, and urgent repairs.
• Ensure all buildings, utilities, classrooms, playgrounds, and campus areas are maintained to high standards and in full working order.
• Oversee inventories, ordering, and distribution of maintenance materials, tools, and supplies.
• Conduct regular campus inspections to identify safety risks, defects, or maintenance needs.
• Ensure compliance with internal policies, local regulations, and international school standards.
2. Cleaning & Hygiene
• Oversee the cleaning team, ensuring all areas of the school are kept clean, hygienic, and safe at all times.
• Develop and monitor daily, weekly, and deep-cleaning schedules.
• Ensure cleaning supplies are stocked, distributed, and used appropriately.
• Address and resolve any cleanliness concerns promptly and professionally.
3. Transport Operations
• Coordinate daily school transport services, including bus routes, schedules, and pick-up/drop-off plans.
• Ensure transport vehicles are well-maintained, repaired on time, and in compliance with legal and safety standards.
• Supervise transport staff (drivers and assistants), ensuring professionalism, punctuality, and safety.
• Liaise with service providers and verify that all documentation (ITP, insurance, repairs) is up to date.
4. Health & Safety (SSM), Fire Prevention (PSI) & Compliance
• Act as the operational link between Questfield and all external SSM and PSI partner companies.
• Ensure full compliance with laws regarding Securitate și Sănătate în Muncă (SSM) and Prevenirea și Stingerea Incendiilor (PSI).
• Oversee safety inspections, risk assessments, evacuation drills, and incident reports.
• Ensure all mandatory employee health & safety trainings are scheduled, attended, and documented accurately.
• Monitor the validity of all SSM/PSI certificates, equipment checks, fire extinguishers, hydrants, alarms, and evacuation signage.
• Collaborate with the Security Company to ensure safeguarding and campus security standards are met at all times.
5. Catering & Meal Service Coordination
• Coordinate daily operations with the catering company, ensuring food delivery, distribution, and snack/lunch schedules run smoothly.
• Ensure all buildings follow consistent procedures regarding meal distribution, safety, and hygiene.
• Supervise staff involved in snack and lunch logistics.
6. Policies, Procedures & Administration
• Create, update, and implement procedures for maintenance, cleaning, transport, safety, and campus operations.
• Contribute to emergency response plans and campus contingency planning.
• Manage contracts, vendor relationships, and annual service renewals.
• Monitor budgets related to facilities, repairs, transport, cleaning, and safety services.
• Prepare regular reports for the Financial Manager and Leadership Team.
7. Communication & Problem Resolution
• Serve as the main point of contact for cleanliness, repairs, safety, transport, and facilities-related issues.
• Address complaints or operational concerns in a timely and professional manner.
• Ensure strong collaboration with teaching staff, leadership, and all operational departments.
8. Professional Development & Compliance
• Participate in training sessions, audits, drills, and professional development related to facilities management, SSM, PSI, transport, and safety.
• Stay updated on legal requirements, compliance expectations, and best practices for school operations.
Other Duties
• Attend staff meetings, open days, parent events, and CPD sessions as requested.
• Support school-wide initiatives, functions, and events.
• Ensure consistent communication and confidentiality regarding school operations.
• Provide support to colleagues and cover operational duties as needed.
• Comply with all legal and school-specific Health & Safety requirements.
• Perform additional tasks delegated by the Senior Leadership Team.
Training & Health and Safety
• Attend CPD days and Health & Safety training sessions.
• Collaborate with SSM and PSI companies to update risk assessments and ensure full compliance.
• Monitor employee attendance for all mandatory trainings.
•Consult and follow all risk assessments before activities or campus projects.
Conduct Expectations

Person Specifications
Essential
• University Degree in a Technical, Engineering, or Facilities-related field.
• Strong administrative, ICT, organisational, and record-keeping skills.
• Proven experience in coordinating maintenance, cleaning, transport, or facilities operations.
• Strong communication and leadership skills.
• Ability to prioritise, multitask, and work under pressure.
• Valid Driver’s Licence.
• Ability to understand and implement SSM & PSI requirements (training provided if needed).
Desirable
• English proficiency (minimum level B1).
• Experience in school or educational environments.
• Experience managing contractors, vendors, and external service providers.
